In order for us to begin work on your behalf, we will need for your to review and sign the Client Terms & Conditions Agreement (Agreement), which includes a description and pricing of the professional services provided, a COVID-19 travel waiver, a travel insurance waiver, and a secure credit card authorization form. This Agreement is for our mutual protection and is due to the changing health, safety, and financial protocols in today’s travel environment. Thank you for your cooperation and understanding.
Travel Advisor – Planning and Design Pricing
Please note that cancelled trips after final payment has been made will incur a $250 per person charge, which will be in addition to any cancellation penalty incurred from the supplier. We encourage you to purchase travel insurance to protect your travel investment from accidents and unforeseen events, which prohibit you from traveling as planned.
Travel Advisor – Professional Services Terms & Conditions
We are excited that you have hired us to assist in planning your next unique travel experience. The following terms and conditions define the service delivery you can expect when working with us:
- Travelex International offers retail travel services to our clients, which are provided by separate and independent vendors of travel services and products (Supplier).
- Travelex International does not operate, control, or otherwise provide the services of the independent Supplier, but the selection of the Supplier is based on vetted relationships in the travel industry for providing the best value and price.
- Travelex International acts only as an agent for the client in acquiring air and land transportation, hotel accommodations, sightseeing and other privileges, or miscellaneous services for your benefit.
- Travelex International earns compensation from professional services and commissions paid by the Supplier.Professional Services compensate us for the time and research involved in the planning process. Professional Services include trip consultation; destination advice; flight suggestions and ticketing fees; transportation logistics – planes, trains, car, or ferry; concierge services; recommending and reserving all accommodations; booking private tours and guides; arranging car rental and private transfers; restaurant recommendations, restaurant reservations, and spa reservations; suggested tour and activities; booking tours and activities; trip insurance recommendations and confirming travel insurance; currency and banking preparations; cell phone recommendations while traveling; complimentary use of Wanderlist Play; packing lists and tips to prepare for the trip; complete and customized Travelex International itinerary app for your iPhone, iPad, or laptop computer; complimentary Virtuoso amenities and benefits; and 24/7 onsite contacts while traveling.
I have reviewed and accept the Client Terms & Conditions Agreement and the Professional Services pricing of Travelex International, on behalf of myself and anyone in my travel party. I acknowledge and accept there are cancellation policies, change fees, and penalties that apply to my travel plans and services, which have been provided to me in writing. I agree to all such cancellation policies, change fees, and penalties, and understand that unused portions of travel vouchers are non-refundable.
Furthermore, if for any reason my credit card charges are later declined, of Travelex International is unable to receive payment for the travel plans and services, I acknowledge that this is a binding contract between myself and Travelex International, and Travelex International shall be entitled to recovery, including reasonable attorney’s fees in connection with collection of the outstanding obligation.
Travel Protection / Travel Insurance
Travelex International offers many optional services to enhance every travel experience. Options such as travel protection/insurance help protect passengers and their investment but are NOT automatically included in the cost of an itinerary to protect against third party default or bankruptcy, delay, trip interruption, trip cancellation, emergency medical expenses, emergency medical evacuation/repatriation, baggage loss, baggage delay, travel assistance and more. To cover many of the issues that might prevent a travel supplier from completely providing their services to you (including the potential of financial default or bankruptcy). Travelex International strongly recommends the purchase of travel protection/insurance. While no one travel insurance company can cover all circumstances, Travelex International does offer its clients access to several reputable travel insurance companies. Please read any travel insurance policies carefully and if you have any questions, please call the travel insurance company for clarification, since they have the final word on what is covered by a claim and what is not.
Travelex International has included a travel insurance brochure and application with this notice so you can review their coverage and policies.
Important Note: You are advised that you need to take the appropriate protection/insurance within a certain number of days from the deposit being paid to avoid waiving coverage for pre-existing medical conditions. The timeframe is imposed by the travel insurance company and is typically 7 to 21 days from the date of the deposit.
Travel Protection/Insurance is offered and strongly recommended for everyone. If you do not elect to accept travel insurance/trip protection, you will be required to complete a Travel Insurance Waiver Form, which is attached for your signature, specifies that you will be fully responsible for all financial charges and penalties regardless of the reason.
In this era of economic and political uncertainty, Travelex International encourages its clients to protect their travel funds by using a credit card and by purchasing travel insurance.
TSA Government Issued ID Card and REAL ID
I acknowledge that beginning October 1, 2021, every air traveler 18 years of age and older must present a REAL ID – compliant driver’s license, state-issued enhanced driver’s license, or another acceptable form of ID to fly within the United States https://www.tsa.gov/real-id. Review the full list of acceptable documentation here: https://www.tsa.gov/travel/security-screening/identification. If you are not sure if your ID complies with REAL ID, check with your state department of motor vehicles.
Travel Documents Notice
Travel Documents, including passports, visas, and health/vaccination certificates required are your responsibility – Valid passports are absolutely required for all international destinations and the expiration date should be at least 6 months following the return date of your trip. Some countries require that your passport have 4 to 6 blank visa/stamp pages. Some airlines will not allow you to board if this requirement is not met. When traveling domestically or internationally, the U.S. Transportation Security Administration (TSA) and U.S. Department of Homeland Security (DHS) requires that everyone carry acceptable identification in order to board a flight.
Information can be found here: https://www.tsa.gov/traveler-information/acceptable-ids. The name, date of birth and gender that appear on the identification card must exactly match the same data that is listed on airline ticket(s) and booking records. I acknowledge that my failure to strictly comply with these requirements may result in denied boarding or undue delay at an airport security checkpoint causing me to miss my flight. Additionally, a visa and vaccinations may be required. Please note that even when a visa is issued, a traveler may be denied entry since each country’s local immigration officials make the final entry decision. Several factors including a past criminal record may contribute to the decision of the local immigration official(s). Should a visa not be issued, Travelex International is not responsible for lost payments made toward the contemplated trip.
